Position:    Executive Assistant     Position Range:    $25K-$39K
Church Academic Reference Resources Hiring Range:    $25K-$32K

Responsibilities
• Provide administrative support to the Senior Vice President & Publisher, Church Academic, and Reference Resources. This also includes the CARR acquisition editors, marketing, Book, and CARR developmental editors.
• Liaison between, authors, agents, and publishing partners.
• Communications (verbal and written) letters, internal memorandums, email, telephone, voice mail
• Schedule/coordinate meetings - meals and transportation for authors, agents, and outside guests
• Set appointments for ETS/AAR/SBL and maintain calendar updates
• Make travel arrangements (flight, hotel, and rental car)
• Complete and process Expense Reports (Gelco)
• Prepare and distribute monthly T&E budgets for Senior Vice President & Publisher, CARR and Editors
• Process and track invoices to HarperCollins for CARR and Marketing
• Order and oversee budget for complimentary copies for CARR and Marketing
• Order and oversee budget for office supplies CARR and Marketing
• Compile, mail, and track galleys for endorsements for authors books in a timely manner
• Compile, mail, and track influencer lists for authors
• Compose and send rejection letters for declined proposals
• Distribute unsolicited CARR proposals to appropriate individual(s) for review received through mail and from the website.
• Maintain filing for Senior Vice President & Publisher Church, Academic and Reference Resources
• Submit building/facilities work orders
• Strive for smooth communications within and outside the department
• Third person phone back-up for the department
• Take minutes as necessary
• Supervise department intern
• Execute special reports as needed and perform miscellaneous projects for editors
•Oversee general departmental needs

 
Knowledge/Experience
• 5-7 years work experience as an Executive Assistant
• B.A or equivalent work experience
• Publishing industry knowledge is a plus

 
Skills
• Thorough knowledge of Microsoft Word, Excel, PowerPoint, and Outlook
• Excellent written and verbal communication skills
• Strong project organizational skills
• Ability to work in a collaborative and collegial environment
• Excellent grammar, spelling and punctuation
• Excellent telephone etiquette – internally and externally
• Excellent knowledge of the support and administrative elements
