Position:    Executive Assistant     Position Range:    $28K-$45K
Bibles Department Hiring Range:    $28K-$36K

Responsibilities
• Provide administrative support to the Senior VP of Bible Publishing
• Maintain appointment calendar, assist with e-mail messages & coordinate meetings
• Coordinate the scheduling of, and recording/ distribution/follow-up of action items at weekly staff meetings, Pub-Board meetings, and Fiscal Year Quick Hit meetings.
• Screen phone calls, maintain electronic & paper files
• Coordinate all office supply ordering and inventory for entire department
• Sort, review, and prioritize all mail and correspondence and maintain contact information in Outlook
• Make all travel arrangements
• Complete expense reports on a monthly basis and review, evaluate, and analyze budget variances on the monthly Departmental Expense Report.
• Assist in the yearly development of the bibles departmental expense budget, including T&E Budgets, gratis budgets, and salary budgets
• Approve, code, and forward all invoices to Scranton three times a week
• Work with our Scranton contact on question/problem invoices
• Create PowerPoint Presentations
• Manage all facets of the entire support staff to ensure equitable distribution of job responsibilities and accountabilities
• Appraise SVP and Department of any pertinent issues and care for miscellaneous requests and projects
• Provide feedback and evaluation to the SVP on all department related issues
• Encourage a professional atmosphere throughout the department
• Maintain open channels of communication throughout the department by lending a listening ear, scheduling and organizing of monthly birthday celebrations, as well as other special events, as appropriate
• Resolve departmental concerns through appropriate means and in conjunction with Human Resources when necessary
• Apprise of policy and procedural changes and announcements, company and departmental decisions, and special activities
• Prepare performance evaluations and salary increases in accordance with stated company policy and in conjunction with the support person’s appropriate Director(s)
• Ensure performance evaluations and increases are reviewed with all personnel in a timely fashion
• Participate in all meetings, committee functions, and in the attainment of goals
• Maintain Bibles’ section of company-wide Policy and Procedures Manual & oversee maintenance of each support person’s Procedures Manual

 
Knowledge/Experience
• 5-7 years work experience as an Executive Assistant
• BA or equivalent work experience
• Publishing industry knowledge is a plus

 
Skills
• Thorough knowledge of Microsoft Word, Excel, PowerPoint, and Outlook
• Excellent written and verbal communication skills
• Excellent interpersonal skills
